American Agri-Women invites committed members to apply for national leadership roles. Candidates may apply for positions on the Executive Committee, Nominating Committee, or Foundation Board.
Open Positions
First Vice President
The American Agri-Women Nominating Committee is looking for our next organization leader. A strong candidate would have excellent communication skills, strategic thinking skills, and most importantly a strong passion for Agriculture.
What does this role include?
“The First Vice President shall serve as an aide to the President, fill the office of President in the event of a vacancy, and coordinate the work of committees not otherwise assigned. This officer shall assume the office of President upon completion of the term. Committees shall be appointed and ready to begin working at the close of the annual meeting.”
1. Administer the office of First Vice President as defined in the AAW bylaws and the parliamentary authority.
2. Must have served on the Board of Directors for at least two years prior to nomination and have attended two national conventions within three years prior to the nomination. The nominating committee may consider experience in lieu of Board of Directors membership.
3. Serve as President upon completion of the term as First Vice President and as a member of the Executive Committee for two years following the term of president.
4. Shall recruit appointees preceding installation as President and announce them after installation.
5. Serve as liaison with the Government Issues Committee. Work with Government Issues Chair to identify timely issues and to formulate a response with input from members and by ensuring content is consistent with position statements approved by members of the Board of Directors at the most recent Mid-Year meeting. Maintain the master list of Action Agents and share read only version with Government Issues Chair and fellow Executive Committee members.
6. Cooperate with Government Issues and Fly-In Chairs to convene committee planning efforts and to make recommendations on location, agenda and fee structure to the 6 Executive Committee for Mid-Year and Fly-In meetings. Cooperate with local member resources for on-site activities, tours, and local presenters.
7. Serve as Resolutions Chairperson and give appropriate reminders prior to the deadline for consideration at the annual meeting. She shall monitor previous resolutions to keep them current.
8. Assists with the coordination of Mid-Year in consultation with the President and the Executive Committee. Works to facilitate the development of the positions’ statements with the Government Issues chair, the Governmental Issues committees and membership. Oversees the publishing of the Board of Directors approved AAW Positions Statements.
9. Oversees and coordinates Government Issues.
10. Coordinate the following committees that relate to membership: new affiliates, promotion, and dues or mailing list.
11. Maintain membership related brochures and work with developing new affiliates.
12. Write a letter of welcome to all new members of AAW.
13. Prepare and present appropriate courtesy resolutions as deemed desirable, or as requested by the President.
14. Report pertinent and timely information to Vice President of Communication for communications including the VOICE.
15. Send a letter, directory and affiliate packet, including their responsibilities, to new AAW affiliate presidents.
16. Actively communicate with affiliate leaders to verify membership data, programming ideas for their benefit, and provide resources as suggested or requested.
17. Work with Vice President of Education to ensure accuracy of Affiliate Handbook.
18. Compile record of communication sent to affiliates for reference for the future First Vice President.
19. In second year of term, determine the following year’s location and dates for Mid-Year and Fly-In with the Executive Committee.
20. Coordinate with Vice President of Education for webinars.
21. Coordinate with Governmental Affairs and Convention Committee for the Town hall open forum during the annual Convention.

Vice President of Communications
Build the brand and tell our agriculture story!
The AAW Nominating Committee is looking for our next Vice-President of Communications. Along with the communications committee the interested candidate would have a keen eye for design, strong written communication skills, and passionate about telling our story.
The Vice President of Communications shall coordinate the work of communications, including supervision of the VOICE, the website and media relations. Must have skills and experience in coordinating multi-media communication included but not limited to social media and other digital formats, drafting news releases, maintaining organization’s website, preparing newsletters for distribution and formulating talking points.
1. Administer the office of Vice President of Communications in accordance with the AAW bylaws and such other rules as shall be adopted.
2. Coordinate the work of communications, including news releases, all social media and the VOICE with the communications committee.
3. Send the following news releases, and others as directed by the President, Executive 7 Committee and/or Board of Directors. a. One convention publicity news release for attendees to use with their name for local distribution b. Announce Veritas Award Recipient(s) prior to convention c. Announce Leaven Award winners(s) immediately following convention d. Announce new officer information immediately following convention e. Convention, Mid-Year, Fly-In and other major events highlighting speakers or themes as appropriate f. Notices about registration being open for AAW events (3 months out) g. Prepare and distribute social media posts and news statements regarding actions that support position statements or other actions that support the AAW mission h. Post current events, save the date reminders, and registration forms to website (1x/week) i. Recognition of national achievements or appointments of members representing AAW or agriculture and announce deadline for scholarships awarded by AAW Foundation.
4. Maintain a current file of publications and people to receive press releases.
5. Offer training to editors of affiliate newsletters and website pages as directed by the President.
6. Seek information from the Executive Committee, Education Committee, and Government Issues Committee as well as other committees to include in communications.
7. Obtain biographical statements and photos of candidates for the VOICE and prepare to place on the website immediately with contact information after the election.
8. Any design changes to the website will be discussed by the Executive Committee and determined whether it could be handled in house or through contractual arrangement.
9. Coordinate with the Past President to make sure all sponsors are given appropriate recognition in AAW public statements.

Treasurer
Where are our numbers gals!?
The AAW Nomination Committee is looking for our next Treasurer. A strong candidate would enjoy numbers and be extremely organized.
The Treasurer shall keep in permanent form a complete and accurate record of finances; receive all dues and contributions; pay bills within the limits of the adopted budget after approval of the President, or by order of the Executive Committee; submit financial reports to the President, to the Executive Committee as requested, to the Board of Directors at the Mid-Year meeting, and to the membership at the annual meeting; have the books compiled or reviewed by an independent certified public accountant following the close of the fiscal year in order to have the resultant financial report for the annual meeting or as soon as possible; Deposit all monies in the name of American Agri-Women, Inc., in a bank approved by the President. The treasurer is responsible for the coordination of mailing lists and membership. She shall prepare an annual treasurer’s report for the President and the Board of Directors. She will work with the financial review committee. The treasurer will work with the President along with members of the Executive Committee to prepare the annual budget.
Must have experience keeping books in computerized software (QuickBooks) and experience with submitting taxes and other forms such as 990 to comply with IRS.
1. Administer the office of Treasurer according to the duties of the office as defined in the AAW bylaws and the parliamentary Authority.
2. Provide budget vs. actual and prior year expenditure/income and balance sheet reports ahead of each Executive Committee meeting.
3. Submit a minimum of quarterly financial reports to the Board of Directors, which would include Mid-Year and Annual Meeting, and a report to the membership at the Annual Meeting Upon end of term(s) will do a report of review of accuracy or audit by a CPA.
4. Prepare a proposed annual budget with the President and Executive Committee to be presented, in writing, for adoption by the membership at the Annual Meeting.
5. If amendments to the adopted budget are necessary, present the proposed amendment to the Board of Directors.
6. Pay bills within the limits of the adopted budget. All bills submitted for payment must be approved by the President.
7. Coordinate with the membership chair to send statements to state, national or commodity affiliates to remind them of dues payment and notices when delinquent.
8. Close the books September 30 and submit them to the Financial Review Committee to conduct an internal audit yearly. Recommendations from the Committee will be available for further review by an independent CPA at the end of the Treasurer’s 2-year term.
9. Deposit all monies in the name of American Agri-Women, Inc. in a depository approved by the President.
10.Work closely with the Financial Review committee and the President to acknowledge all receipts, bills, and deposits.
11.Develop a voucher for requesting reimbursement for expenditures that will fit the categories of the budget. Receipts must be attached to the voucher.
12.File appropriate non-profit tax forms with government agencies to comply with tax and business regulations.
13.Procures and oversees bids, for bonding of herself to be approved by the Executive Committee.
14.Procures and oversees insurance coverage for Executive Committee and event insurance for Mid-Year, Fly-In and Convention with approval of Executive Committee.
15.Coordinate with Past President to invoice donors.
16.All financial records shall be kept/retained for 7 years, or time required by the IRS.

AAW Foundation Board
Agriculture Giving on a National Level – Help inspire on the AAW Foundation Board
The AAW Nominating Committee is looking for three members to join the AAW Foundation Board.
AAW Foundation purpose is to receive and administer funds for promoting and developing educational and leadership programs and opportunities relevant to agriculture. The overall objective of this organization shall be educational.
Other objectives include:

To raise funds to support education about agriculture, agricultural education, and leadership development.

To promote the leadership of American Agri-Women through scholarships, grants, projects, and training.

To serve as a partner with American Agri-Women in the development of educational and leadership programs and materials.

Nominating Committee
Join the team that helps shape the future of American Agri-Women!
There shall be a nominating committee of five, four of whom shall be elected at the annual meeting, and the chairman shall be appointed by the President, with the approval of the Executive Committee. The committee shall nominate at least one qualified person for each AAW office to be filled, at least one qualified person for each of the three Director positions to the AAW Foundation Board, and four nominating committee members, and secure their written consent to serve, if elected. The slate of nominees from the nominating committee shall be presented at the annual meeting, following which nominations from the floor will be in order, provided written consent of the nominee has been obtained and qualifications are met.
AAW Foundation Bylaws Article IV Section 3 At least one AAW Foundation Director shall serve on the AAW Nominating Committee. The Committee shall nominate at least one qualified person for each Director position on the AAW Foundation Board. Note: 3 positions are open each year.
1. A committee of four is elected at the Annual Meeting. One member is to be a carryover from the previous committee and one member is to be from the AAW Foundation Board. A fifth member of the committee is appointed by the President in an effort to give geographic balance to the committee and will serve as the Nominating Committee Chair. An alternate is also elected but is not a member of the Nominating Committee unless the chair accepts a resignation from one of the four elected members or determines that one of the four elected members should be removed.
2. The committee’s guidelines are the AAW bylaws and the adopted parliamentary authority, “Robert’s Rules of Order Newly Revised” in the most recent edition.
3. When a member of the committee wishes to be considered for an office, it is recommended that the member resign from the committee and ask to be replaced by the alternate.
4. The Executive Committee of AAW as an official body does not endorse a candidate.
5. Nominations shall be sought for all positions to be filled: a. The First Vice President, Vice President of Communications and Treasurer shall be elected in odd numbered years. b. The Secretary and Vice president of Education shall be elected in even numbered years. c. In the event of an unfilled term, the newly appointed officer will complete the term which then becomes an open position. d. Three directors for the AAW Foundation. e. Nominating Committee of four with one carry-over member and one Foundation Board member plus an alternate that does not serve unless there is a nominating committee resignation for a total of five candidates. Note: The President appoints the chair of the committee who is not an elected member.
6. The Nominating Committee will provide each applicant with a job description for the office being considered. They will confer with the applicant to determine if the criteria can be met. A Conflict-of-Interest form shall be signed by all nominees.
7. Applications shall require three signatures including contact information to contact for references. At least one of the references shall be from the candidate’s affiliate president unless a member at large. The Nominating Committee is charged with checking all references. This includes those candidates to be nominated from the floor.
8. The Nominating Committee will determine if the candidate has met qualifications and will perform the duties for the position using the description of office or committee. Information gathered from the application and references will be used to determine fitness to serve. Additional references may be contacted. If this is the only candidate for a position and determined unqualified, the committee must seek a qualified candidate.
9. Application forms for nominees require three signatures.
10. Written consent of nominees shall be secured from all nominees, indicating their willingness to serve if elected. These forms should be filed with the nominating committee who will hand them to the Secretary of AAW before the business meeting begins.
11. The Nominating Committee shall conduct a verbal interview of each applicant for executive offices via conference call, Skype, GoToMeeting, in person, etc. At least two committee members should conduct the interview.
12. The Nominating Committee will share the completed slate with the Executive Committee in time for publication in the fall VOICE.
13. Nominations from the floor are allowed, provided written consent of the nominee had been obtained, an application has been filed with the Nominating Committee and reviewed by the nominating committee to determine if the application is complete and qualified for pending nomination position. This process must be completed before the Annual Meeting begins.
